The short answer

The duration depends on the records, complexity and planning. Budget separately for closing, preparation, adoption and filing of the Dutch annual accounts.

Which preparation determines the lead time?

Much of the investigative work arises with suspense accounts with an unexplained balance, a current account with the DGA (director-major shareholder) that does not reconcile, or investments booked wrongly. Examine those points in the records before preparing.

First count the outstanding work, not only the number of ledger accounts. Are all bank accounts reconciled, invoices processed and investments specified? A BV with twenty accounts but an unexplained current account of € 80.000 may need more investigative work than a larger set of records that is closed monthly. Make a list of missing documents, responsible persons and a target date per item. Only when the trial balance balances after corrections does it make sense to plan reliably the time for preparing the balance sheet, profit and loss account and notes.

How do you estimate the work per file?

Correction rounds cost extra work when amounts are entered manually in several overviews. A well-structured document or program can carry changes through, but the new output still needs a substantive check.

A practical estimate splits the engagement into three phases: finishing the records, preparing the annual accounts, and handling the resolutions and publication. Put the dependencies next to each part. For a loan of € 50.000, the agreement, interest calculation and repayment balance may be needed. For an investment of € 30.000, the purchase date, invoice and depreciation basis are needed. Without those documents, repeated correction rounds arise. Do not make a universal promise that the process is finished within a fixed number of hours; the time needed varies with the quality of sources, size class and complexity of valuation.

What makes planning with an accountant longer?

At an accounting firm, planning also determines the lead time. Ask in good time which documents the firm needs and when it can carry out the engagement.

With an accountant, besides execution time, the available schedule and the time you need to answer questions count. A medium-sized legal entity subject to audit may have to supply more supporting documents than a micro BV that prepares its own. Also reserve time for signing, adoption and digital filing. The KVK sets an absolute limit of twelve months after the financial year and a period of eight days after adoption. So plan backwards from those dates. Check receipt of the documents; finishing the pdf is not the same as a processed filing.

Make a work plan that fits your file

List who supplies the bank statements, contracts, inventory schedule and tax overviews. For a BV with a loan of € 75.000, put the agreement and repayment schedule down as a task of its own, not as a vague remark 'check loans'. Estimate a realistic delivery date per task and mark dependencies: the note on the loan can only be final after the closing balance is confirmed. Then plan an internal review of the annual accounts and a separate step for adoption. The time for these tasks depends strongly on the file and may not be presented with one general market average.

Include the statutory deadlines as hard milestones. For a BV the ordinary preparation period is five months after the financial year; under conditions an extension can be granted. The annual accounts must in any case be filed within twelve months and within eight days after adoption. If an accountant performs an audit, agree when the final file must be ready to receive the report on time. Add room for technical errors in digital submission and check the processing at the KVK. A completed work file without adoption and publication is not yet a completed statutory cycle.

Frequently asked questions

Can software predict the duration exactly in advance?

No. The state of the records and items still to be assessed determine much of the work.

When do I start the year-end work?

Start as soon as the financial year is closed and the necessary supporting documents are available, well before the statutory deadlines.

Does waiting time at an accountant count?

Yes. Ask early for a place in the schedule and agree a delivery date for the file.
