The short answer
Software can help prepare Dutch annual accounts, but a bookkeeping package, annual accounts tool and KVK filing route do different jobs. Check whether a tool covers Dutch Civil Code (DCC) Book 2 Title 9, your entity's size class, the required publication version and the filing format. The management board remains responsible.

A ledger can show that debits equal credits without answering whether a provision is measured correctly or a note is required. A reporting application can assemble statements but cannot decide whether a management board has enough evidence for a going-concern assumption. A portal can accept a filing without preparing the underlying accounts. Treat each tool as a step with a named owner and a checkable output.
Selection criteria for a foreign founder or group
- Legal scope: BV, NV, cooperative and mutual insurance association are direct Title 9 cases; a foundation or association needs a separate scope check.
- Input: obtain a reconciled trial balance (saldibalans), account descriptions and comparative figures before mapping anything.
- Size: verify two-year assets, turnover and employee criteria, including group treatment where relevant.
- Documents: distinguish full annual accounts from the limited public version and ask whether notes and a management report are supported.
- Control: require visible source figures, manual corrections, version history and a review step before sign-off.
- Filing: establish whether the vendor submits through SBR, supports KVK's portal, or only exports a document for separate submission.
The output question is often the decisive one. For micro and small entities, KVK's ZDJ portal can be used to enter publication data; financial software can also file through Standard Business Reporting (SBR). Medium-sized and large filings follow digital routes with richer content and an auditor's report. From financial year 2025, large entities also face digital filing under KVK's SBR guidance. Read the filing guide before buying a tool on the strength of a generic 'XBRL export' label.
Ask for a worked demonstration using your own financial year and size. In particular, can a report show the original account, its mapped statutory line, last year's comparison and the rounding trail? Can a reviewer change a policy note without silently changing the numeric source? Does the tool keep the adopted copy apart from a later correction? These questions are more useful than a long feature list because they expose where a team still needs manual work.
Worked cost and process example
Imagine a small BV with a 31 December 2025 year end, €2 million in assets, €4 million turnover and 18 employees in both relevant years. It exports a reconciled trial balance from its bookkeeper. An annual accounts tool maps the ledger and produces full accounts for adoption plus an abbreviated balance sheet and notes for publication. A BV of this size needs no statutory audit. An adviser or filing software may add separate costs.
Before comparing prices, assign the remaining work: review accounting policies, agree taxes, obtain management board signatures, have the general meeting adopt, and send the filing via a supported KVK route. If your adviser does any of those steps, include their fee and deadline. A low software price cannot by itself tell you whether the filing obligation has been discharged.
Where Jaarrekening.io fits
Jaarrekening.io accepts an XAF audit file or a trial balance in Excel or CSV; direct package connections are not released. It prepares a publication version, but sends nothing to the Chamber of Commerce (KVK) or the Netherlands Tax Administration. Its XBRL output is only a candidate for external validation for micro entities with financial years starting 2023–2025. Common purchasing mistakes
Do not equate an English interface with an English statutory workflow. Check the specific screens your staff will use, the language of exported line-item labels and the instructions for submission. Also distinguish an XBRL instance from a technically validated and accepted KVK filing. The portal or SBR software still needs the right authorisation, taxonomy and receipt. Can my foreign accounting system provide the source data?
Often yes, if it can export a reconciled trial balance in a usable format. Dutch statutory presentation and disclosures still need a separate check.
Do I need to buy SBR software?
Not necessarily. KVK offers its ZDJ portal for eligible filings, while advisers may submit through their own software. The choice depends on class and content.
Does a PDF of the annual accounts satisfy digital filing?
A PDF is a document, not automatically an accepted SBR submission. Confirm the KVK route for the relevant financial year and size class.
Can the same package do bookkeeping and annual accounts?
Some workflows combine both, but inspect the actual statutory statements and public copy. A balanced ledger alone does not establish Title 9 compliance.
