The short answer

Yes. Excel is fine as a tool, but the Dutch annual accounts must meet the statutory content requirements and be filed via a permitted KVK route.

Basis: art. 2:361 DCC

Which requirements apply regardless of the program?

Title 9 Book 2 DCC sets requirements for the content and layout of the annual accounts, not for the software. Excel, Word or AI-supported software are all permitted.

A spreadsheet can help with classifying the trial balance, calculating totals and drawing up a readable set of annual accounts. The law does not prescribe which program you use, but it does prescribe what information the annual accounts must give. So include, besides the balance sheet, a profit and loss account and suitable notes for the internal version. For a small BV with € 250.000 in assets and € 400.000 in turnover, the public version may be more limited than the internal one. Keep the accounting policies, comparative figures and adoption status clearly separate from worksheets with trial calculations.

Which errors often occur in a spreadsheet?

A spreadsheet needs maintenance: the same amounts can recur in the balance sheet, notes and comparative columns. Build in reconciliation checks and review the whole output after every correction; the chance of an error depends on the set-up and the checking.

A formula that refers to the wrong row can change a balance sheet item of € 10.000 without a visible error. So protect input fields, check formulas after adding rows and compare the totals with the final trial balance. Also use a check on the difference between assets and liabilities and on the appropriation of result. A balancing spreadsheet is not a substantive check, however: a maintenance expense wrongly booked as an asset can still leave the balance sheet balanced. Have important valuations and notes assessed separately. Keep a version with frozen formulas and source files in the archive.

How do you turn Excel figures into a valid publication?

For submission via SBR software a message in the required format is needed. The KVK portal offers an entry route for supported classes and financial years. Check the current options rather than assuming an ordinary spreadsheet can be filed directly.

For micro and small entities you can enter the required data in the KVK portal, while suitable SBR software can submit an XBRL message. The spreadsheet itself does not automatically become an accepted XBRL file. Check which route the KVK offers for your class and financial year. Make a publication version that contains only the required information and compare it line by line with the adopted annual accounts. Record who entered the figures and check the processing in the Business Register after sending. That way, even with manual work, it stays clear where each public amount comes from.

How do you build checks into an Excel file?

Use separate tabs for source data, mapping, calculations and the final annual accounts. Let amounts in the annual accounts follow from the source via formulas instead of retyping them in several places. Add a check on assets minus liabilities and on the reconciliation of the result for the year with equity. Test those checks with a deliberately changed trial item of € 100: does the outcome change where you expect it? A formula that always shows zero because it refers to the same cell is not a usable check. Keep the original export unchanged alongside the final version.

Before adoption, make a PDF of the complete annual accounts and read it through as a document. Visible errors, truncated text or a reversed minus sign then stand out sooner than in separate worksheets. Have two people check the comparative column, note numbers and the date of the financial year. Then make the abridged publication version according to the size class. The KVK portal may have you enter data directly, which creates a second manual transfer; after entry, compare the amounts shown once more with the adopted PDF. Keep the Excel file with the source data, but do not treat it as automatic proof that the public filing is correct in substance.

Frequently asked questions

Can I upload an Excel file directly to the KVK?

Check the current KVK route; entry via the portal or submission in the required digital format may be necessary.

Does a balance sheet formula replace a substantive check?

No. Formulas test totals, but do not assess valuation or statutory notes.

Must I keep the final spreadsheet?

Keep it with the sources and the adopted output, so that amounts can be traced later.
