For accountants and bookkeeping firms

Annual accounts software for accounting and bookkeeping firms

Jaarrekening.io prepares the Dutch annual accounts per client and per financial year from the trial balance. Your firm reviews; the client's board prepares, the competent body adopts.

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

Annual accounts software for a firm must do five things per client: import the trial balance, map accounts to the statutory line items, build a draft under Title 9 Book 2 DCC, record the review and derive the publication version. Jaarrekening.io does that per financial year at a fixed price per set of annual accounts (excl. VAT). The judgement and the report stay with your firm.

This page is written for accountants (RA and AA), bookkeeping firms, bookkeepers and tax advisers who prepare annual accounts for clients. Every topic has its own in-depth page; the overview is at the bottom of this page.

What a firm asks of year-end software

An entrepreneur prepares one set of annual accounts a year. A firm prepares them for many clients at once, with the same people and often in the same months. That changes what software must be able to do.

  • Uniform data intake: every client comes in via the same route, regardless of the bookkeeping package.
  • Standardisation: the same layout, the same checks and the same texts as a starting point, so that a staff member does not start over for each file.
  • Reviewing instead of building: the preparer delivers a draft, a colleague reviews it, and who did what is recorded.
  • Size class per client: micro, small, medium-sized or large determines the layout, the publication exemptions and the audit requirement.
  • Publication and filing: the filing version follows from the adopted annual accounts, which the firm submits via the KVK portal or with SBR software.
  • Planning: preparation and filing deadlines per client in view, so that the peak stays manageable.

Software takes over the calculation, the layout and part of the writing. The assessment of estimates, accounting policies and continuity remains professional work. The section on professional judgement below deals with that.

From trial balance to adopted annual accounts, per client

The road from administration to filed annual accounts is the same for every client. The table shows per step who is responsible and what the platform does.

StepResponsibleWhat Jaarrekening.io does
1. Record the engagementFirmTemplates for engagement letters, including a compilation engagement under Standard 4410, to fill in and keep as a PDF in the file.
2. Import the trial balanceFirmImport of an XAF audit file or a trial balance in Excel or CSV. Comparative figures from the annual accounts filed with the KVK, a PDF or last year's trial balance.
3. ClassifyFirmMapping of accounts to the annual accounts line items via RGS codes; where no usable code comes along, an AI proposal that you review. Check whether debit and credit balance.
4. Determine the size classFirmDerivation of micro, small, medium-sized or large from the figures, with the two-year rule and a signal if the audit requirement of art. 2:393 DCC applies.
5. Prepare the draftFirmBalance sheet and profit and loss account from the figures; editable drafts for the notes and management report, marked as AI-generated.
6. ReviewFirm, second personRoles of preparer, reviewer and approver; approval per section, comments per section and an internal file approval.
7. Prepare and signClient's boardDocument view and export as PDF, Word or Excel to discuss with the client. The board prepares and signs (for the BV art. 2:210(1) and (2) DCC).
8. AdoptClient's competent body (for BV and NV the general meeting)Recording whether and on what date adoption took place. That date must be on the filed annual accounts (art. 2:394(1) DCC).
9. FileFirm or clientPublication version per size class and, for every class, an XBRL file as a validation candidate. Submission goes via the KVK portal Zelf Deponeren Jaarrekening or with SBR software; the XBRL file of a large client only with SBR software.

For a BV or unlisted NV, the board prepares the annual accounts within five months; extension by at most five months is possible (art. 2:210(1) and art. 2:101(1) DCC). For cooperatives, mutual insurance societies (onderlinge waarborgmaatschappijen) and foundations or associations under Title 9, six months applies, extendable by at most four (art. 2:58, 2:49 and 2:300 DCC). A listed NV has four months, without extension. Filing takes place within eight days after adoption and no later than twelve months after the end of the financial year (art. 2:394(1) and (3) DCC). Jaarrekening.io calculates those dates per financial year and per legal form and shows them in the file. You can read more in year-end planning and deadlines.

How the platform supports a firm

One route for every package

Exact Online, Twinfield, AFAS, Yuki, Moneybird, SnelStart and other packages produce an XAF audit file or a trial balance in Excel or CSV. That way every file runs the same way. Direct links per package are in preparation and not yet released. Per package.

Roles and four eyes

Preparer, reviewer and approver are separate roles. The database refuses an approval by a role that is not authorised to give it. Review and four eyes.

Publication version from the same figures

The filing version follows from the same source as the annual accounts that the board prepares, limited to what the size class must make public. Publication documents.

XBRL as preparation

For every size class the platform produces an XBRL file as a validation candidate, for financial years starting in 2023 up to and including 2026; for large in the KVK's large model. Validating and filing you do yourself. Filing for clients.

AI as a draft, not as judgement

The AI proposes the classification and writes drafts for the notes and management report. The amounts come from fixed calculation rules, not from the language model. Mandatory sections must be approved before the financial year can be approved internally.

Auditor's report in the file

For medium-sized and large clients you upload the draft and the final auditor's report of the accountant and record its conclusion.

Modules for firm practice: the state of play

Besides the annual accounts, modules have been built aimed at firms: Client management (client file, engagements, deadlines, hours, fees and powers of attorney), Client portal (questionnaires, documents and client sign-off) and Consolidation, which is marked as beta.

Those modules are at present not yet in the app's menu. If you want to use one, please contact us. The amounts for the modules you can add are on the pricing page. What the modules do and do not do, you can read at Client management and Client portal.

What is not there: linked invoicing, a timer for time registration, work in progress and a firm or volume rate. So do not expect a full practice management package from Jaarrekening.io.

Where professional judgement stays

Software can process, calculate and flag. A number of decisions belong to the firm and the client's board. They do not shift to a program:

  • Estimates and valuation: provisions, obsolete inventory, uncollectible receivables and impairments.
  • Accounting policies and presentation, such as the choice of tax-based policies for micro and small (art. 2:395a(7) and art. 2:396(6) DCC).
  • Continuity and events after the balance sheet date: what the client tells you, you weigh against what you know about the business.
  • Signals of incomplete or misleading information. Standard 4410 asks the accountant to put that to the board and, if necessary, to resign the engagement (paragraphs 32 to 35).
  • The report. A compilation report under Standard 4410 is issued only by an accountant. The platform does not generate that text.

The board remains responsible for the annual accounts and signs them (for the BV art. 2:210(2) DCC). An AI draft is a draft. Read on at compilation engagement and NV COS 4410.

Prices for firms: per set of annual accounts, excl. VAT

You pay per set of annual accounts: once per financial year, by the size class of the entity. There is no subscription for the annual accounts themselves. You pay in the financial year overview, before you import the trial balance.

Size classLimits (at least two of three)Price per set of annual accounts
Micro-entity (art. 2:395a DCC)Balance sheet total ≤ € 450.000, net turnover ≤ € 900.000, employees < 10€ 250 excl. VAT
Small entity (art. 2:396 DCC)Balance sheet total ≤ € 7,5 mln, net turnover ≤ € 15 mln, employees < 50€ 500 excl. VAT
Medium-sized entity (art. 2:397 DCC)Balance sheet total ≤ € 25 mln, net turnover ≤ € 50 mln, employees < 250€ 2.000 excl. VAT
Large entity (full Title 9 Book 2 DCC)Balance sheet total > € 25 mln, net turnover > € 50 mln, employees ≥ 250€ 5.000 excl. VAT

A firm or volume rate does not exist at present: every set of annual accounts of every client is charged separately. You create an account yourself via the registration. If you want to determine the class per client in advance, use the size class calculator.

The annual accounts route follows Title 9 Book 2 DCC: directly for the BV, the NV and the cooperative, for foundations and associations if they fall under art. 2:360(3) DCC, and for a vof or cv under art. 2:360(2) DCC. For sole proprietorships (eenmanszaken), partnerships (maatschappen) and the ordinary vof and cv, the bookkeeping with the VAT return is intended; income tax is coming soon. Banks and insurers, including the mutual insurance society (onderlinge waarborgmaatschappij), follow their own formats which the app does not prepare.

What the platform does not do

  • It sends nothing to the KVK. You file via the KVK portal or with SBR software, and then record the receipt reference in the file.
  • It does not produce an iXBRL file, nor XBRL for the documents of art. 2:403 DCC. The XBRL file of a large client you submit with your own SBR software, with the auditor's report in the same format.
  • It does not submit tax returns. Returns are prepared; submission goes via Digipoort with return software or an intermediary, or via Mijn Belastingdienst Zakelijk.
  • It does not issue a compilation, review or audit report and does not replace a statutory audit (art. 2:393 DCC).

Frequently asked questions

Which program does an accounting firm use for annual accounts?

Firms use year-end software that converts the trial balance from the bookkeeping package into annual accounts under Title 9 Book 2 DCC, with a publication version for filing. Jaarrekening.io covers preparing, reviewing and preparing the publication; the firm submits itself, via the KVK portal or with SBR software.

What does Jaarrekening.io cost per client?

The first annual accounts in your firm's workspace are free, so you can try the software on a real file. After that you pay per set of annual accounts, once per financial year: € 250 for micro, € 500 for small, € 2.000 for medium-sized and € 5.000 for large, all amounts excl. VAT. There is no firm subscription or volume discount.

Can I produce a compilation report with Jaarrekening.io?

No. There is a template for the engagement letter of a compilation engagement, but no compilation report. The accountant issues that report under Standard 4410; the NBA publishes sample texts.

Can Jaarrekening.io file with the KVK for my clients?

No. You get a publication version and, for every size class, an XBRL file as a validation candidate. On behalf of clients you file via the KVK portal Zelf Deponeren Jaarrekening or with SBR software via Digipoort; the XBRL file of a large client only with SBR software.

Does it work with my clients' bookkeeping package?

Yes, if the package can export an XAF audit file or a trial balance in Excel or CSV. The common Dutch packages can. Direct links per package are in preparation and not yet released.

May a bookkeeping firm without an accountant prepare the annual accounts?

Yes. The law does not prescribe who prepares the annual accounts; the board is responsible. A bookkeeping firm may just not call itself an accountant and may not issue the accountant's compilation report (art. 41 of the Dutch Accountancy Profession Act, Wet op het accountantsberoep).
