Bookkeeping software with annual accounts

Book the year in a ledger with RGS codes and take the financial year's trial balance directly into the annual accounts, without export and import.

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

Looking for bookkeeping software with annual accounts? In Jaarrekening.io, the bookkeeping is in the same environment as the annual accounts. You book the year in a ledger with RGS codes and afterwards take the financial year's trial balance into the annual accounts. Accounts from the standard chart get their RGS code and BW 2 line item with them; you assign other accounts yourself afterwards.

If you prefer to keep the books in another package, that remains possible: you then supply an XAF audit file or a trial balance in Excel or CSV. Direct links per package are in preparation and not yet released.

Why bookkeeping and annual accounts belong together

Legal framework (Dutch Civil Code): art. 2:10 DCCart. 2:362(1) DCC

The board must keep records from which the rights and obligations of the entity can be determined at any time, and keep the books for seven years (art. 2:10 DCC). The annual accounts are the summary of those records at the balance sheet date. Every step between the two (exporting, checking columns, reading in again) is a place where a balance can drop out.

When ledger and annual accounts are in one environment, that intermediate step disappears. The takeover reads the entries of the chosen financial year, keeps the profit and loss movements apart from the balance sheet positions and takes the prior financial year's figures along as comparative figures.

What the bookkeeping module does

Ledger and chart of accounts

Standard chart of accounts with RGS codes and BW 2 line items, general journal entries and CSV batch import. You do not change a posted entry; you correct with a reversing entry. Ledger card as PDF or CSV.

Periods and year-end closing

Close periods with a recorded reopening, a year-end closing entry and an opening balance. Switching is possible with a CSV opening balance, with templates for Exact, Twinfield, Moneybird, e-Boekhouden and SnelStart.

Invoices

Sales invoices with continuous numbering, as PDF in Dutch, English or German, credit notes, quotes and recurring invoices. Purchase invoices with approval before payment. Create and read in UBL files (see e-invoicing).

Open items

Accounts receivable and payable per relation, SEPA payment files (pain.001) and direct debit files (pain.008), and reminders and payment demands as PDF letters.

VAT codes

Nineteen VAT codes that point directly to the rubrics of the VAT return, with a check report that compares tax base times rate with the booked VAT.

Reporting

Balance sheet and profit and loss account with comparative figures, cash flow, key ratios, a budget against actuals and a thirteen-week liquidity forecast. Export as XAF audit file (default version 4.0; version 3.2 remains selectable).

Bank link (PSD2) and bank statements

You retrieve bank transactions via a direct PSD2 link with Ponto (read-only access), which you set up yourself, or read them in as a file: CAMT.053, MT940 or CSV with column mapping, in euros. The module uses a CAMT.054 file to match batch payments to invoices. When processing, the module proposes counter accounts based on earlier entries of the same counterparty, and matches payments to open items.

Transactions that you had already read in with a bank file are recognised by the link and not taken over again. A bank file remains possible for a bank that does not support Ponto.

From ledger to annual accounts in four steps

  1. In the annual accounts, create the financial year. Its start and end date determine which entries count.
  2. Activate the financial year. The first set of annual accounts in your account is free; after that you pay per set of annual accounts, once per financial year and by size class, from € 250 excl. VAT for a micro entity. The amounts are on the pricing page.
  3. In the bookkeeping, choose Take over trial balance. The profit and loss account contains the financial year's movements, the prior financial year supplies the comparative figures and a year-end closing entry does not count. A financial year that already has a trial balance is not overwritten.
  4. Check the mapping of accounts without an RGS code and then prepare the balance sheet, profit and loss account and notes.

What the module does not (yet) do

  • No separate journals with their own number series; all entries run through one journal.
  • The year-end closing entry in the bookkeeping works for calendar years. The takeover to the annual accounts does follow the financial year's dates.
  • Foreign currency only on sales invoices and in the bank import (with a rate you enter yourself); no revaluation of currency balances.
  • Depreciation of fixed assets only straight-line.
  • Receipts are not read with OCR; for PDFs with a text layer the module does read the text and proposes a category.

Availability in the app

In the menu, subscription per entity. Bookkeeping is in the menu as soon as you open an entity. It is a subscription per entity per month, by size class and without a trial period: micro € 125, small € 150 and medium-sized € 300, excl. VAT; for large on request. The periodic VAT returns are included. For the annual accounts themselves you do not need the bookkeeping module: an export from your own package is enough, and the first set of annual accounts in your account is free.

Legal notice: this information is general in nature and does not replace tax or legal advice or an audit by an accountant. The accuracy and completeness of the annual accounts remain the responsibility of the board (art. 2:362(1) DCC).

Frequently asked questions

Can I keep using my current bookkeeping package?

Yes. You then supply an XAF audit file or a trial balance in Excel or CSV per financial year. The bookkeeping module is an alternative, not a condition for preparing annual accounts.

Does the bookkeeping module have an automatic bank link?

Yes, a PSD2 link via Ponto with read-only access, which you set up yourself. If your bank does not work with Ponto, you import bank statements as a CAMT.053, MT940 or CSV file.

Does the bookkeeping module cost extra?

Yes. Bookkeeping is a subscription per entity per month, from € 125 excl. VAT (micro), including the periodic VAT returns. You pay for the annual accounts separately, once per financial year; the first set of annual accounts in your account is free.

Can I create an XAF audit file for the Dutch Tax Administration or my accountant?

Yes, the module exports the records as an XAF audit file, by default in version 4.0; version 3.2 remains selectable.

Which bookkeeping software with annual accounts suits a holding company?

A holding with few transactions can keep the books here and take over the trial balance directly. If the holding has subsidiaries that you consolidate, also look at the consolidation module.
