Preparing and filing Dutch annual accounts from e-Boekhouden.nl
e-Boekhouden.nl supplies a balance sheet, a profit and loss account and an audit file. Combining them into annual accounts and filing is something you do yourself afterwards.
The short answer
e-Boekhouden.nl does not compile the annual accounts for you and does not file. You print the balance sheet and the profit and loss account, or export an audit file via Manage > Export > Audit file (version 2.0 or 3.2). With those you prepare the annual accounts and file via SBR software or the KVK portal Zelf Deponeren.

What e-Boekhouden.nl offers for the annual accounts
On its own explanatory page about the annual accounts, e-Boekhouden.nl is clear: ‘Print your profit and loss account and balance sheet in e‑Boekhouden.nl with a few clicks. Combine them and file your annual accounts.’ So the package supplies the statements of figures. The notes, the choice of what you make public and the filing itself are not part of it.
For firms there are export files for reporting software, including Speedbooks, Caseware, Infine, PM-report, Accept and Nmbrs Reporting, and an automatic database link with Speedbooks and Visionplanner. For anyone using other software, e-Boekhouden.nl points to the XML audit file.
Exporting the audit file and reports from e-Boekhouden.nl
Audit file
- In your account go to Manage > Export > Audit file.
- Choose the financial year or the period you want to export.
- Select the layout: per week (52 weeks) or per month (12 months).
- Choose the version; e-Boekhouden.nl offers version 2.0 and version 3.2.
- Click Save and download the file.
Take version 3.2. e-Boekhouden.nl itself writes that this version has ‘more detail, better audit possibilities and broader support’ than 2.0.
Balance sheet, profit and loss account and balances
According to the function overview you can click through to the underlying data in almost all reports and ‘make an export to Excel and PDF’. The exact menu path to the balances or columnar trial balance is not on the public site; it is in the knowledge base inside the package (Customer service). Search there for ‘saldibalans’ (trial balance) and then go through the five checks on the export.
RGS in e-Boekhouden.nl: switch it on first
RGS is not on by default. The e-Boekhouden.nl manual describes three steps. Activate the function via Manage > Setup > Settings > Switch functions On/Off > RGS - Reference Ledger Scheme and choose detail level 3 or 4. Then link each account via Manage > Setup > Ledger accounts: click the pencil and type part of the code or the description in the RGS field.
The export with RGS codes runs via Manage > Export > Reporting software. The manual names one destination for it: ‘At the moment you can make an export with RGS codes for: Fiscaal-Online.nl.’ Whether the codes are also in audit file 3.2 is not stated by e-Boekhouden.nl. So expect to check the mapping to annual accounts line items yourself.
Checks before exporting from e-Boekhouden.nl
e-Boekhouden.nl has its own step-by-step plan for closing the financial year. The order matters for the annual accounts.
- Bank balance: compare the balance sheet at 31 December with the balance on your bank statement.
- Depreciation: post it, or let the Fixed Assets module do it.
- Inventory: update the value to what is there on the balance sheet date.
- Now export the audit file and the reports, before you process the result.
- Process the result (‘set balance sheet balance to 0’) and lock the year via Manage > Advanced > Closed periods.
Worked example: exporting before or after processing the result
A BV has € 318.200 in revenue and € 290.750 in costs over 2025. The result is € 27.450. If you export at that moment, both amounts are in the file and the profit follows from the sum. If you first post the € 27.450 to the reserves and then export the positions at 31 December, the profit and loss accounts stand at zero and the receiving software sees a year without turnover. The balance sheet balances in both cases; that is exactly why the mistake goes unnoticed.
Filing from e-Boekhouden.nl: the route
Filing is digital. The KVK writes that micro and small entities have done this via SBR since financial year 2016, medium-sized since financial year 2017 and large from financial year 2025. If you do not have SBR software, as a micro or small entity you prepare the publication documents in the KVK portal Zelf Deponeren; medium-sized and large entities can upload an already adopted annual accounts there. You log in with eHerkenning (at least EH2), with an access code or with an e-mail address and password plus an authorisation.
| Legal form in e-Boekhouden.nl | Annual accounts under Title 9 Book 2 DCC? | What you do with the export |

| Foundation (stichting) or association | Only with an enterprise of sufficient size art. 2:360(3) DCC | Usually your own financial report for board and members; file only if the law requires |
| Sole proprietorship or vof | No | Use the balance sheet and profit and loss account for the income tax return |
e-Boekhouden.nl and Jaarrekening.io
Jaarrekening.io reads audit file version 3.2 from e-Boekhouden.nl, or a trial balance in Excel or CSV. The XAF file is read in your browser; the app checks whether the entries balance and whether the period fits the financial year. If there are RGS codes in the audit file, the mapping follows from them; otherwise the AI makes a proposal that you review. The software sends nothing to the KVK: you file yourself or via your accountant. A direct link with e-Boekhouden.nl is in preparation and not yet released, see linking to your accounting package.
When another route is better
For a sole proprietorship or vof, annual accounts under Title 9 Book 2 DCC are not needed; the reports from e-Boekhouden.nl suffice. If a firm that uses Speedbooks or Visionplanner does your return, the automatic link of e-Boekhouden.nl with those packages is the shortest way. And if your entity falls in the medium-sized class, there is an audit requirement and the file belongs with the accountant. If you want bookkeeping and annual accounts in one environment, that is possible with the bookkeeping of Jaarrekening.io.

Frequently asked questions
Can I file with the KVK directly from e-Boekhouden.nl?
No. e-Boekhouden.nl supplies the balance sheet and the profit and loss account and writes that you combine them and then file. You file with SBR software or in the KVK portal Zelf Deponeren (self-filing): micro and small entities prepare the documents there, medium-sized and large entities upload the adopted annual accounts there.
Which audit file version do I choose in e-Boekhouden.nl?
Version 3.2. According to e-Boekhouden.nl it contains more detail and is more widely supported than version 2.0. Mind the future: from 1 January 2027 the Dutch Tax Administration (Belastingdienst) only accepts XAF 4.0 for submissions, so ask e-Boekhouden.nl when that version becomes available.
Must I choose weeks or months for the audit file?
For the annual accounts it makes no difference: the balances per account are the same. Choose the layout that fits your bookkeeping, usually twelve months.
My financial year is locked, but I still need to correct something. Is that possible?
Yes. According to e-Boekhouden.nl you can always temporarily reopen a closed period via Manage > Advanced > Closed periods. Export again after the correction, so that the annual accounts and the bookkeeping stay the same.
Does an association in e-Boekhouden.nl need annual accounts?
A financial report for the members, yes; annual accounts under Title 9 Book 2 DCC, usually not. That obligation applies only to associations and foundations that run an enterprise above the turnover threshold of art. 2:360(3) DCC.
