Accounting package

Preparing Dutch annual accounts from Moneybird

Moneybird supplies a balance sheet, profit and loss account, columnar trial balance and an audit file. The package does not prepare and file complete annual accounts.

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

Moneybird says it itself: the package ‘does not compile full annual accounts’ and you cannot file with it. For a BV, export the columnar trial balance (Reports tab, Excel button) or the audit file via Settings > Bookkeeping > Export bookkeeping. Do that before the year-end closing, otherwise the profit and loss account is missing from the audit file.

What Moneybird itself offers for the annual accounts

The knowledge base article ‘Filing annual accounts via Moneybird’ is short: ‘Moneybird does not compile full annual accounts. You therefore cannot file the annual accounts directly via Moneybird.’ What you can do: call up the balance sheet and the profit and loss account on the Reports tab and export them to PDF and Excel.

For a sole proprietorship (eenmanszaak) that is usually enough. A BV needs more: a layout following the statutory formats, prior-year figures, notes and a version for the KVK. You do that part outside Moneybird.

Exporting the trial balance and audit file from Moneybird

Columnar trial balance to Excel

  1. Open the Reports tab and choose Columnar trial balance.
  2. Set the filter at the top left to the whole year.
  3. Check the four columns: Opening balance, Debit, Credit and Balance.
  4. Click the Excel button at the top right.

You also see the ledger code per category. Moneybird has no separate trial balance; the Balance column is the closing balance over the chosen period.

Audit file, ledger cards or bridge schedule

Go to Settings > Bookkeeping > Export bookkeeping. There you choose between an audit file, the ledger cards in Excel or an RGS bridge schedule. The export is prepared; you collect it via the bell at the top right. Moneybird exports ledger cards only per whole financial year.

Since 11 November 2025 Moneybird can also export the bookkeeping ‘in the Auditfile Financieel format version 4.0’. The knowledge base article on the audit file does not describe how to choose between versions; after downloading, check in the file which version you have.

RGS and ledger codes in Moneybird

Moneybird works differently from classic packages. In the words of the knowledge base: ‘Moneybird does not work with ledger codes, but with categories that you create yourself.’ For the audit file a ledger code is mandatory per category; the RGS reference code is optional. If codes are missing, you get a message and no file is produced.

You manage the codes via Settings > Bookkeeping > Categories > Change ledger scheme. With Fill in standard codes you take over the codes from RGS, provided your categories are linked to RGS; with De-duplicate codes you make duplicate codes unique. For an RGS bridge schedule the requirement is stricter: all categories must have an RGS 3.5 code. How complete your RGS link is therefore determines how much mapping work remains.

Checks before exporting from Moneybird

  • Export first, then close. With a year-end closing, Moneybird empties the profit and loss account per category on 31 December. An audit file that you download afterwards no longer contains a profit and loss account.
  • Already closed? Moneybird describes the way out: delete the journal entry of the year-end closing with the trash icon, download the audit file and make the closing again.
  • VAT accounts. If you do not submit the VAT return via Moneybird, clear ‘VAT payable’ and ‘VAT receivable’ yourself with a journal entry.
  • Locking. Lock the administration after the closing, so that nobody changes the old year any more.

Worked example: an audit file without turnover

A BV books € 142.600 turnover and € 96.300 costs in 2025: a result of € 46.300. The year-end closing posts both categories back and puts the € 46.300 on a balance sheet category. If you then download the audit file, turnover stands at € 0 net, and so do the costs. The file balances neatly, because the balance sheet is correct, but whoever reads it in sees a year without a profit and loss account. The columnar trial balance from before the closing does show € 142.600 credit and € 96.300 debit.

Clearing private withdrawals and deposits, as the article on the year-end closing describes, applies to sole proprietorships and general partnerships (vof). Moneybird itself writes: ‘A BV has no private.’

From Moneybird export to annual accounts and KVK

A BV prepares the annual accounts, has them adopted and files them within eight days afterwards, at the latest twelve months after the financial year art. 2:394(1) and (3) DCC. The prior-year figures belong alongside art. 2:363(5) DCC; so also export the 2024 columnar trial balance.

Moneybird and Jaarrekening.io

The columnar trial balance in Excel fits Jaarrekening.io well: the app reads Excel and CSV, recognises the columns and lets you review that mapping. An XAF audit file is also possible, but the annual accounts import is built for versions 3.1 and 3.2. If you have a file in version 4.0, use the columnar trial balance when in doubt. Only from an audit file does the app take over RGS codes; with Excel you review an AI proposal. A direct link with Moneybird is in preparation and not yet released. When a bookkeeper or accountant is the better route

When in doubt Moneybird itself refers to the bookkeeper, and has a network of experts for that. Bring one in if you want to pay a dividend, have a loan from or to your own BV, or are preparing annual accounts for the first time. Before handing over, go through the checks on the trial balance; that saves questions. If you run a sole proprietorship, the Title 9 route is not meant for you and bookkeeping and tax returns are enough, for example in the bookkeeping module of Jaarrekening.io.

Frequently asked questions

Can I file my annual accounts with the KVK via Moneybird?

No. Moneybird writes that it does not compile full annual accounts and that you cannot submit the annual accounts through Moneybird. You file with SBR software or in the KVK portal Zelf Deponeren (self-filing).

Why is the profit and loss account empty in my Moneybird audit file?

Because the year-end closing has already been made. It posts the balance of every result category back on 31 December. Delete the closing entry, download the audit file and make the closing again, or export first from now on.

Does Moneybird have a trial balance and a closing-balance report?

Not as separate reports. The columnar trial balance on the Reports tab shows the opening balance, debit, credit and closing balance per category. If you want to see all entries, export the ledger cards.

Must every category in Moneybird have an RGS code?

Not for the audit file: only a ledger code is mandatory there. For the RGS bridge schedule it is: all categories in the administration must have an RGS 3.5 code.

Can I export the ledger cards for half a year?

No. Moneybird exports ledger cards per financial year only. For a shorter period, export the categories separately, where you can filter by period.
