Preparing Dutch annual accounts from SnelStart
SnelStart has a Jaarrekeningen (annual accounts) module for bookkeepers (Accountant Pro). Entrepreneurs export the columnar trial balance or request an audit file.
The short answer
SnelStart has a Jaarrekeningen module, but only in the Accountant Pro package for bookkeepers and accountants; filing with it is possible for micro and small. As an entrepreneur you export the columnar trial balance (Bookkeeping → Columnar trial balance in Polaris, Reporting → Financial in SnelStart 12) or request an audit file. Linking RGS is only possible in an online administration.

What SnelStart itself offers for the annual accounts
SnelStart has a Jaarrekeningen module ‘for bookkeepers and accountants’, usable ‘from the SnelStart Accountant Pro package’. According to SnelStart, the annual accounts are built up automatically from an administration that is fully linked to RGS and are based on the Dutch taxonomy and the NBA sample reports. In the module you check whether the annual accounts comply with the taxonomy; then you export a PDF or file with the KVK.
SnelStart itself names two limitations. Filing is ‘currently possible for the company classes Micro and Small’. And the module is in a firm package: an entrepreneur with inStap, inKaart or inBalans does not have it. Your bookkeeper can, however, link your SnelStart administration to the module.
Getting the columnar trial balance and audit file out of SnelStart
| Export | SnelStart Polaris | SnelStart 12 |
|---|---|---|
| Columnar trial balance | Bookkeeping → Columnar trial balance; set the start and end date at the top right and export via the three dots | Tab Reporting → Financial → Columnar trial balance (from inStap); start and end date default to the financial year |
| Audit file | Cogwheel at the top right → Audit file; you continue to SnelStart Web, choose the year, tick Audit file and click Send | Reporting → Financial → Posting reports; choose XML V2, XML V3 or ADF |
| RGS bridge schedule | Financial → ledger transaction cards → three dots → Export RGS bridge schedule | Not described in the article on version 12 that we consulted |
With Polaris the audit file does not come as a direct download: you receive an e-mail with download instructions. In SnelStart 12 the same applies to format V3.2, which according to SnelStart you can ‘only’ request in combination with an online administration. With the tick ‘Including name and address details of relations’ you determine whether names and addresses of relations are in the file.
In the columnar trial balance you choose under Grouping from None, Snelstart or based on RGS. For a file that you read in elsewhere, None is the safest: then you get one line per account without category totals. Check the result with the trial balance guide.
Linking RGS in SnelStart
SnelStart uses RGS version 3.1 at level 4. Linking is only possible with an online administration, and only with the Accountant package or by an accountant who has access to your administration. In SnelStart Web you click the three books at the top right and choose Link RGS; in Polaris the same choice is under the cogwheel. With Fill with suggestions SnelStart links 25 accounts at a time, which you then check.
Note one property: the link is recorded at account level, not per administration. If account 1000 Cash in one administration gets the code BLimKasKas, it applies to all online administrations with the same number and the same description. What an RGS code means for the annual accounts is explained in RGS mapping.
Checks before exporting from SnelStart
- Online or local. A local administration has no RGS link and no audit file V3.2.
- Date range. The columnar trial balance defaults to the financial year you are working in; with the arrows you jump to another year. Check that you export 2025 and not 2026.
- Main user. Only the main user and a user with administrator rights can change RGS codes.
- Bridge schedule. Polaris only makes an RGS bridge schedule if the administration is RGS-linked and every entry is in balance.
Worked example: the same account in two BVs
A holding and its operating company both use account 1300 Current account. At the holding it shows € 85.000 debit: a receivable from the subsidiary. At the operating company it shows € 85.000 credit: a payable to the parent. Because SnelStart stores the RGS code at account level, both accounts get the same code, while one item is a receivable and the other a payable. SnelStart describes the solution: first change the account number in one of the administrations and then link a separate code.
Closing the financial year in SnelStart: the order
If you close the financial year in SnelStart, the package creates the opening balance for the new year. If you do not, the ledger accounts of the new year start at zero according to the Kennisplein (SnelStart 12). The order matters for the annual accounts: first the VAT, then the result, and only then close.
- VAT entry. Submit the last VAT return. In SnelStart Web calculating alone does not count: the return must have been sent or marked as submitted outside SnelStart. The entry transfers the VAT balance to a balance sheet account for VAT of previous years.
- Corporate income tax. You post that yourself in SnelStart 12; the package does not do it automatically. Post it before the result entry, otherwise the result before tax ends up in equity.
- Result entry. The result goes to equity or, for a sole proprietorship or vof, to the partner's capital account. You also choose private deposits and withdrawals here; with RGS SnelStart recognises those accounts itself.
- Closing. In SnelStart 12: Bookkeeping > Close financial year, choose All balance sheet accounts and confirm. In SnelStart Web: Financial > Year-end closing. Make a back-up first.
If the year is not finished yet, in SnelStart 12 you choose provisional closing (Journal accounts only): the opening balance then sits in the journal ‘Balance clearing account’ and you close definitively later. Reversing is possible via Reverse year-end closing of financial year (SnelStart 12) or Close again (SnelStart Web, only the last closed year). In SnelStart 12 you cannot lock a closed year; posting remains possible.
Worked example: a BV closes 2025
A BV books € 184.200 turnover and € 131.700 costs in 2025: € 52.500 before tax. Corporate income tax is 19% on the first € 200.000 of profit, so € 9.975 (the taxable profit may differ; this is a simple case). After the manual entry, € 42.525 result remains. The last VAT return gives € 3.840 payable; that entry sits on the balance sheet account for VAT of previous years. The result entry puts € 42.525 into equity, and that is exactly the result the annual accounts show: € 184.200 − € 131.700 − € 9.975 = € 42.525. If you close before the corporate income tax entry, € 52.500 ends up in equity and the balance sheet deviates from the annual accounts you prepare.
After closing, check which column shows which year, and also retrieve the previous year's balance sheet: you need it for the comparative figures art. 2:363(5) DCC.
From SnelStart export to annual accounts
The columnar trial balance is the starting point. Then follow the classification, the comparative figures art. 2:363(5) DCC, the notes, the adoption and the filing within the deadline of art. 2:394 DCC.
| Who prepares? | Class | Route |
|---|---|---|
| Your bookkeeper with Accountant Pro | Micro or small | Jaarrekeningen module: build via RGS, taxonomy check, PDF and filing |
| You yourself | Micro or small | Export the columnar trial balance, prepare in separate software, file in the KVK portal Zelf Deponeren |
| You with your accountant | Medium-sized or large | SnelStart does not mention filing for these classes; the accountant audits art. 2:393(1) DCC. You file with suitable SBR software or with an upload of the adopted annual accounts in the KVK portal |
SnelStart and Jaarrekening.io
Jaarrekening.io reads the columnar trial balance as an Excel or csv file, or an XAF audit file in version 3.1 or 3.2. With an online administration, therefore request format V3.2. The app checks the balance between debit and credit and, for an audit file, checks whether the period fits the financial year. RGS codes are only taken over from the audit file; with Excel you review an AI proposal. A direct link with SnelStart is in preparation and not yet released. Background is at linking to your accounting package.
When SnelStart's module or your bookkeeper fits better
If your bookkeeper has Accountant Pro and your administration is fully linked to RGS, the Jaarrekeningen module is the shortest way: the figures do not have to leave SnelStart. That applies to micro and small. If you prepare them yourself, or your entity falls in a higher class, you export. A sole proprietorship does not need Title 9 Book 2 DCC annual accounts; bookkeeping and tax returns suffice, also in the bookkeeping of Jaarrekening.io.

Frequently asked questions
Can I, as an entrepreneur, use SnelStart's Jaarrekeningen module?
According to SnelStart the module is meant for bookkeepers and accountants and is part of the SnelStart Accountant Pro package. Your bookkeeper can link your administration to it; the module is not in the entrepreneur packages.
Why can't I link RGS in SnelStart?
Usually because the administration is not online, or because you do not have the Accountant package. Linking RGS is only possible in an online administration. If your accountant has access, they can set up the link for you.
Which audit file version do I choose in SnelStart 12?
SnelStart offers XML V2, XML V3 and ADF and calls XML V3 the newest. You request format V3.2 via the online environment. Ask the recipient which format is wanted; from 1 January 2027 the Dutch Tax Administration (Belastingdienst) only accepts XAF 4.0 for submissions.
Do I get the audit file from Polaris as a direct download?
No. You are redirected to SnelStart Web, choose the year, tick Audit file and click Send. You then receive an e-mail with download instructions.
Can SnelStart also file for a medium-sized BV?
SnelStart currently supports filing from the Jaarrekeningen module for the company classes micro and small. For medium-sized and large you use suitable SBR software, or you upload the adopted annual accounts in the KVK portal Zelf Deponeren according to the requirements the KVK sets there; for medium-sized the KVK names three files: the annual accounts, the auditor's report and the accountant's signature.
