Question and answer

Dutch annual accounts uploaded but not filed: confirmation of receipt and checking

Uploading in your software or the portal is not the same as filing. Dutch annual accounts are only filed once the KVK (Dutch Chamber of Commerce) has processed them and the financial year appears in the Business Register.

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

Via SBR you receive an email confirming receipt via Digipoort if there are no issues; otherwise you get an error message and submit again. Check for free, without logging in, whether the financial year is listed for your company in the Business Register. If it is not there, it has not been filed.

In case of an errorCorrect and submit again via Digipoort
Deadline keeps runningEight days after adoption, at the latest twelve months after the financial year (art. 2:394 DCC)

What "filed" means

Three moments often lie close together but are not the same: you have uploaded or prepared the file in your software, it has been sent, and the KVK has processed it. Only the last makes the Dutch annual accounts public. For the portal route for micro and small companies, the KVK states that after submission and processing the annual accounts are immediately visible and can be requested in the Business Register, and that you receive a confirmation by email with a PDF copy.

With SBR submission there are two outcomes. After receipt, automatic checks follow. If there are no issues, you receive an email confirming receipt via Digipoort. If the annual accounts cannot be processed, you receive an error message; after fixing the errors you submit the annual accounts again.

How to check whether the KVK has the annual accounts

  1. Search the Business Register by the name or KVK number of the legal entity. This is free and you do not need to log in.
  2. See whether the financial year is listed among the filed annual accounts. If it is, the annual accounts have been filed.
  3. If it is not, check your email or the software for a confirmation or an error message. Also check your spam folder.
  4. No confirmation and no error message? Contact your software supplier for the submission status. In case of a portal outage, the KVK asks you to call or use the chatbot.

Why a submission often does not go through

The KVK names three things to check first: an incorrect KVK number, the existence of an already adopted set of annual accounts for the same financial year, and special characters. An incorrect KVK number can make the submission hard to find or block the submission of another company. For annual accounts that have not been adopted, you do not enter an adoption date; that version can be replaced by a new non-adopted version or by an adopted one.

What happens with a warning?

We found no fixed procedure for this. The KVK pages we read say nothing about a warning letter. The KVK does state that not filing or filing late is punishable as an economic offence, that the Financial-Economic Integrity Service can draw up an official report and that the Public Prosecution Service can impose a fine. If you receive mail about missing annual accounts, act as if the deadline has already passed: see catching up on overdue annual accounts.

Case: the confirmation arrives too late

Bouwbedrijf Aksoy BV (fictional, small: balance sheet total ≤ € 7,5 mln, net turnover ≤ € 15 mln, < 50 employees) adopts the 2025 annual accounts on Friday 12 June 2026. The filing deadline is 20 June (eight days). It is Saturday 20 June: at 16:50 the bookkeeper sends the SBR message and goes home.

MomentWhat happensWhat it means
Sat 20 June, 16:50Message sentNot yet filed; awaiting processing
Mon 22 JuneError message: special characters in the director's nameNot filed, the term of paragraph 1 has expired
Tue 23 JuneError fixed, submitted againThree days after the last day under paragraph 1
Wed 24 JuneEmail of receipt via Digipoort; financial year visible in the registerFiled

The question was not whether a confirmation came, but whether the confirmation came on time. Paragraph 3 still had until 31 December 2026, so the highest risk (twelve months) was not in play; the eight days of paragraph 1 had been exceeded. No reason to panic, but a reason not to send on the last day. Record the sending date, the error and the corrected submission.

How it works at Jaarrekening.io

Jaarrekening.io sends nothing to the KVK. After the release of the filing version you record the reference of the confirmation of receipt in the file. The app does not verify that reference with the KVK; checking the Business Register remains your own step. The first set of annual accounts in your account is free, for every size class.

Frequently asked questions

How do I know whether my annual accounts have been filed with the KVK?

Search for your company by name or KVK number in the Business Register. If the financial year is listed among the filed annual accounts, they have been filed. This is free and requires no login. With SBR you also receive an email confirming receipt via Digipoort.

I did not receive a confirmation of receipt. What now?

First check the register and your email, including spam. If both are empty, ask your software supplier for the submission status. Do not wait to resubmit until the deadline is almost over; the eight days after adoption and the twelve months keep running.

What does an error message when filing mean?

The annual accounts have not been processed and are therefore not filed. Check the KVK number, whether an adopted set of annual accounts already exists for the financial year, and whether there are special characters. Then submit again via Digipoort.

Will I get a warning from the KVK if I am late?

We did not find a fixed warning procedure. The KVK states that filing late is a criminal offence and that the Financial-Economic Integrity Service (Dienst Financieel-Economische Integriteit) can draw up an official report. File as soon as possible.

May I file a new version if I spotted a mistake?

Annual accounts that have not been adopted can be replaced by a new non-adopted version or by an adopted one. For annual accounts that have been adopted once, the KVK has a separate check against duplicate submissions; see can I correct filed annual accounts.
