Preparing Dutch annual accounts from Informer

Informer supplies reports in Excel and PDF, an audit file (.XAF) and an RGS bridge schedule. You then prepare the annual accounts yourself or with an adviser.

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

Informer has no module that prepares or files the annual accounts. According to Informer you download an audit file and read it into reporting software, or you generate the reports and write notes on them yourself. Every report has the buttons Download Excel and Download PDF; you create an RGS bridge schedule via Reports > Bridge schedule.

What Informer itself offers for the annual accounts

Informer's own wiki describes two ways. The first: ‘In Informer's bookkeeping program your accountant or bookkeeper (or you yourself) can download an audit file. You can read this into a lot of reporting software.’ From such software, according to Informer, the annual accounts can be filed via SBR. The second: ‘generate the required reports and then write notes on them’.

Informer does not mention a component that itself produces a balance sheet following the statutory formats, notes or a publication version. The package is therefore the source of the figures, not the end station.

Downloading reports and the audit file from Informer

Balance sheet and result to Excel

Informer's helpdesk explains that exporting works the same way in all report screens. At the top right are two buttons: Download PDF and Download Excel. The Excel button delivers the data on the screen as an XLS file. That applies to all reports under the Reports menu.

  1. Open the Reports menu and choose the report with the balances per account.
  2. Set the period to the whole financial year, for example 1 January to 31 December 2025.
  3. Click Download Excel at the top right.
  4. Repeat this for the previous financial year, for the comparative figures.

We did not find in a help article what the report is called in your version exactly; the names in the menu can differ per subscription. Check the content therefore: one line per account, with number, description and balance. The trial balance guide shows what to look out for.

Audit file

According to the wiki you download in Informer an audit file that is saved ‘as an .XAF file’. That article gives no menu path or version number. Ask Informer's helpdesk via the chat where the button is in your environment and which version the file has.

Matching RGS in Informer

Informer links the chart of accounts to RGS in two clicks. Choose Settings > Ledger accounts and then Match standard RGS > Match. The standard RGS scheme is then matched with your accounts. You export a bridge schedule via Reports > Bridge schedule.

Informer itself warns about the limit of that automation: accounts that an entrepreneur added himself are not recognised directly, and ‘a small part of the ledger accounts’ you must review and fill in yourself. Do that before the export. How RGS codes lead to annual accounts line items is explained in RGS mapping.

Checks before exporting from Informer

  • Invoices in the right year. Informer points out that a purchase invoice counts in the financial year of the invoice date, not of the payment date.
  • Bank and cash. Compare the balances in the administration with the actual balances and investigate differences.
  • Categories. Check that invoices are linked to the right accounts.
  • Locking. Close the year via Settings → Bookkeeping: select the period and lock it. After that no more posting is possible.

Worked example: where does the result end up?

At the year-end closing Informer moves the result to the capital account. For a sole proprietorship that is logical; for a BV it belongs with the reserves. Take a BV with € 1.000 paid-up capital, € 46.200 other reserves and € 18.900 profit over 2025. After the closing, equity should be € 66.100. With € 77.700 in liabilities, the balance sheet total comes to € 143.800. If you see the € 18.900 back on a private account, the account for the appropriation of the result is set up wrongly.

Informer itself advises to have the year-end closing ‘always at least’ reviewed by a financial adviser.

From Informer export to annual accounts

What you must do with the export depends on the legal form and size. For a BV, Title 9 Book 2 DCC applies: prepare, have adopted and file within eight days afterwards art. 2:394(1) DCC.

Informer and Jaarrekening.io

Jaarrekening.io reads the XLS file from the Download Excel button, as well as xlsx and csv files, and recognises columns with debit and credit or one balance column with a D/C indication. An XAF audit file in version 3.1 or 3.2 is also possible; only from that file does the app take over RGS codes. Without codes the AI makes a proposal for the mapping, which you check. A direct link with Informer is in preparation and not yet released. See also linking to your accounting package.

When an adviser is the better route

Informer says it itself: have the closing reviewed. That applies all the more for the first annual accounts of a BV, with a current account with the director or with loans within a group. For a sole proprietorship a Title 9 Book 2 DCC annual accounts is not at issue; there the reports from Informer are enough, and the bookkeeping of Jaarrekening.io is intended for that too.

Frequently asked questions

Where do I download the audit file in Informer?

Informer's wiki says you can download an audit file and that it is saved as an .XAF file, but gives no menu path. Ask the helpdesk via the chat or search the help centre for ‘auditfile’.

Is the Excel export from Informer an xls or an xlsx file?

According to the helpdesk article, the Download Excel button downloads the data in XLS format. You can open that older Excel format in Excel and, if needed, save it as xlsx or csv.

What does ‘Match standard RGS’ do in Informer?

It links the standard RGS scheme to your chart of accounts. The function does not always recognise accounts you added yourself; according to Informer you fill those in yourself.

Can I still post in Informer after locking the financial year?

Informer writes that the program locks the year and that you can then no longer post in it. Whether and how you lift a lock is not in that article; check before you lock.

As a self-employed person (zzp'er) with Informer, do I need annual accounts?

No annual accounts in the sense of Title 9 Book 2 DCC and no filing with the KVK. For the income tax return you do need a balance sheet and a profit and loss account; you get those from the reports.
