Preparing Dutch annual accounts from Asperion
Asperion bundles all exports in the Data Export Centre: audit file, ledger transactions, an RGS bridge schedule and files for reporting software.
The short answer
We did not find a module in Asperion's Online Help that prepares or files annual accounts under Title 9 Book 2 DCC. You get the figures from the Data Export Centre (Extra > Data Export): an audit file, all ledger transactions, an RGS bridge schedule or an export for reporting software such as Caseware or Visionplanner. First link RGS and generate the year transition.

What Asperion itself does for the annual accounts
Asperion is bookkeeping and invoicing software. The Online Help describes ‘many standard reporting options’ and a trial balance in which, according to Asperion, you see all balances together, with the opening balance added. A component that writes notes, makes a publication version or files with the KVK is not in it.
For what comes next, Asperion refers to other software. The Data Export Centre has exports for ‘Caseware, Infine, Visionplanner, Accept Rapportage, Audition, Speedbooks, among others’ and Prim@ccount, and for Pro Management and Speedbooks there is a direct API link. If your package is not listed, Asperion names the audit file as the way out.
Exporting from Asperion's Data Export Centre
You find the centre via the menu Extra > Data Export > Data Export Centre, or on the dashboard under Management > Data Export Centre. Every export type has its own tab.
| Tab | What you get | Usable for |
|---|---|---|
| Report Generators | All ledger transactions in the format of the chosen reporting package | Firms that compile with Caseware, Visionplanner or a comparable package |
| Audit file | A file ‘in a format as drawn up by the tax authority’ | Software that reads an audit file; the help page gives no version number |
| Ledger transactions | A complete, unprocessed export of all transactions | Your own analysis in Excel with pivot tables |
| RGS Bridge schedule | An XML file with balances per RGS code; you choose the financial year and click Export | Tax return software; disabled as long as RGS is not linked |
The trial balance itself is a report, not a tab in the export centre. Asperion Financieel's function list mentions ‘Trial balance and closing balances’, ‘Balance sheet, profit and loss account’ and ‘Export to Excel, export to PDF’; the audit file is available as XML (XAF) or text (ADF). The menu path to the report is not in the articles we consulted and may differ per subscription: ask Asperion's helpdesk and meanwhile use the checklist for the trial balance.
Linking RGS in Asperion
According to Asperion, most customers who start with the package already have a ledger scheme linked to RGS. If you brought your own scheme, you link it yourself. Go to Settings › Setup Wizard › Chart of accounts › Main groupings and click RGS Conversion. Asperion makes a proposal based on a template; you check it and adjust it where necessary.
Only then do the ledger accounts come up, in the same way. That order is mandatory: the RGS Conversion button only appears at the accounts once all main groupings have a code. Main groupings correspond to level 2 of RGS, ledger accounts to levels 4 and 5. What you gain from those codes is explained in RGS mapping for the annual accounts.
Checks before exporting from Asperion
- Year transition generated. Via Bookkeeping > Year transition > Run you transfer the closing balances to period 0 of the next financial year. Asperion generates one year transition at a time, always the oldest one still missing.
- Regenerate after corrections. If you still post in the old year after the year transition, generate it again; according to Asperion that is allowed ‘as often as necessary’.
- Right type. Choose Transfer balances automatically, unless the opening balance is already there because you read in an audit file or entered the balance sheet by hand.
- Depreciation. If the tick at Assets is on, Asperion regenerates all depreciation in the new year. Check whether that is the intention.
Worked example: does the year transition tie up?
A BV closes 2025 with a balance sheet total of € 512.300 and a profit of € 41.800. After the year transition, period 0 of 2026 should show the same balance sheet total, with the € 41.800 on the account set for the result in the administration. If you then still post € 3.200 depreciation in 2025, the profit drops to € 38.600. Without a new year transition the 2026 opening balance then runs € 3.200 ahead of the 2025 closing balance.
From Asperion export to annual accounts and filing
With the export, preparation only begins. The accounts must be mapped to the line items of the balance sheet and the profit and loss account, the prior-year figures go alongside art. 2:363(5) DCC and the notes must be written. After adoption comes filing, at the latest twelve months after the financial year art. 2:394(3) DCC.
| Your situation | Suitable route from Asperion |
|---|---|
| Micro or small BV, you prepare yourself | Export the audit file or trial balance, prepare the annual accounts in separate software and file in the KVK portal Zelf Deponeren |
| Your firm compiles | Export for the firm's reporting package; the firm files with SBR software and a PKIoverheid certificate |
| Medium-sized or large | Audit by the accountant art. 2:393(1) DCC; supply the audit file and the ledger transactions as file documents |
Asperion and Jaarrekening.io
Jaarrekening.io reads the audit file from Asperion if it is an XAF file in version 3.1 or 3.2, and otherwise a trial balance in Excel or CSV. With an audit file, RGS codes that are in it are used for the mapping to the annual accounts line items; accounts without a code get an AI proposal that you review. The app checks whether debit and credit are equal and whether the period of the file fits the financial year. A direct link with Asperion is in preparation and not yet released; see linking to your accounting package.
When your firm's package or your accountant fits better
If your bookkeeping firm already works with a reporting package for which Asperion has a ready-made export, that route is the shortest: the firm does not need to convert anything. For a group with multiple administrations, foreign currencies or an audit requirement, the annual work also belongs with the accountant. Preparing it yourself suits a straightforward BV whose line items you can explain. If you want the bookkeeping and the annual accounts in one environment, look at the bookkeeping module of Jaarrekening.io.

Frequently asked questions
Which version is the audit file from Asperion?
The Online Help gives no version number; Asperion describes the audit file as a file in the format of the Dutch Tax Administration (Belastingdienst). Open the file in a text editor and look for the version number in the first lines, or ask the helpdesk. From 1 January 2027 the Belastingdienst only accepts XAF 4.0 for submissions.
Why is the RGS Bridge schedule tab in Asperion greyed out?
Because the chart of accounts has not yet been linked to RGS. Asperion disables the export as long as that link is missing. First link the main groupings (hoofdverdichtingen) and then the ledger accounts via RGS Conversion.
Can I let the year transition run automatically in Asperion?
Yes. Besides generating it manually, Asperion describes an option to have the year transition generated automatically. After corrections in the old year, do check whether the opening balance of the new year has been updated.
Is an RGS bridge schedule enough for the annual accounts?
No. A bridge schedule contains balances per RGS code and is meant for the tax return in tax software. For the annual accounts you also need the comparative figures, the notes and an adopted version.
