Bookkeeping package

Preparing Dutch annual accounts from Visma (eAccounting and AccountView)

Visma is not one package but a family. For the annual accounts it matters which product you have: Visma eAccounting, AccountView or Nmbrs Accounting (formerly Yuki).

✓ First annual accounts free ✓ Micro to large entities ✓ Dutch GAAP: Title 9, Book 2 DCC ✓ Primary database in the EU

The short answer

With Visma the route depends on the product. In Visma eAccounting you create a trial balance as pdf or csv under Bookkeeping - Reports and export audit files via Settings - Import and export. In AccountView you choose Document > Export > XML Auditfile Financieel. We were not able to verify an annual accounts module of its own for either.

Because the old web address of eAccounting no longer leads to a product page, it is wise to ask Visma what its plans for the product in the Netherlands are. The online help was reachable on the date mentioned and was in Dutch.

What Visma itself offers for the annual accounts

The help of Visma eAccounting Standaard lists reports such as Balance sheet, Profit and loss account, General ledger and Trial balance, but no function that prepares or files annual accounts with notes. AccountView describes exporting an audit file as something you do because ‘your accountant’ asks for it. In both cases the supplier thus assumes that the annual accounts are made elsewhere. We were not able to check whether additional modules exist.

Exporting the trial balance and audit file

Visma eAccounting

  1. Go to Bookkeeping - Reports and choose Trial balance.
  2. Select Create report and enter the financial year or period.
  3. Click the arrow to the right of the View button and save the report as a csv file.
  4. For an audit file go to Settings - Import and export; Audit files is listed there among the data you can export.

The trial balance shows, per account, the number, the name, the opening balance, the debit and credit balance, the difference and the closing balance. You can save the Balance sheet and Profit and loss account reports in the same way; the profit and loss account can show the prior-year figures alongside.

AccountView

  1. Choose File > Administrations and select the administration.
  2. Choose Document > Export > XML Auditfile Financieel (or Auditfile for the older format).
  3. Enter the periods and optionally select a report model for the category layout.
  4. Choose Next and decide whether to save the file or send it by e-mail.
  5. Enter a file name without spaces and choose Export.

Which version the XAF file has is stated in neither help text. Open the file and read the version number in the first lines. What a usable trial balance must contain is in the trial balance guide.

RGS with Visma

RGS does not appear in the help pages we consulted. With the export AccountView does offer a report model for the category layout; whether that model is based on RGS depends on your setup. With eAccounting, expect the trial balance to come without RGS codes and that you link the accounts to annual accounts line items yourself, or review a proposal. The method is in RGS mapping.

Checks before exporting from Visma

  • Locked or draft. Visma eAccounting puts ‘Concept-’ (draft) in front of the balance sheet and results report as long as you have not locked the bookkeeping for that period. If that word is in the heading, entries can still be booked.
  • Periods. In AccountView enter all periods of the financial year, not only those with daily entries.
  • Correct administration. AccountView exports the administration you selected in the Administrations window.
  • Check the csv. Open the csv file and see whether amounts came through as numbers and with the right decimal separator.

Worked example: recalculating the trial balance

Take the line for the bank account in the trial balance. The opening balance is € 31.250. During the year € 402.800 is booked as debit and € 389.450 as credit; the difference is € 13.350. The closing balance must then be € 44.600, and that amount should equal the bank statement at 31 December. If the sum is right but the statement is not, an entry is missing. If the sum is wrong, the report was made over a different period than you thought.

From Visma export to annual accounts

For the annual accounts of a BV, after the export the following steps come: classify the accounts, include the prior-year figures art. 2:363(5) DCC, write the notes, have them adopted and file them, at the latest twelve months after the financial year art. 2:394(3) DCC.

ProductMost usable sourceNote
Visma eAccounting, micro or small BVTrial balance as csv, for this year and the prior yearLock the period first, so that they are not draft figures
AccountView, small to medium-sized BVXML Auditfile Financieel over all periodsFor a medium-sized entity the accountant audits art. 2:393(1) DCC
Multiple administrations in AccountViewOne audit file per administrationFor a group, consolidation is added; that does not follow from an export

Visma and Jaarrekening.io

Jaarrekening.io reads the csv file of the trial balance, just like Excel; the columns are recognised and you can adjust the mapping. An XAF audit file from AccountView or eAccounting is also possible, if it is version 3.1 or 3.2. The app rejects a file in which debit and credit are not equal and shows the difference. The mapping to the annual accounts line items is a proposal by the AI, unless the audit file contains RGS codes. A direct link with Visma products is in preparation and not yet released; see linking to your bookkeeping package.

When the accountant is the better route with Visma packages

AccountView is set up for delivering an audit file to the accountant; the export screen even asks for the accountant's e-mail address. If your accountant compiles the annual accounts, that is the shortest way. Preparing them yourself suits a straightforward BV with a trial balance that you can explain line by line. If you are looking for another place for a simple administration, that is also possible in the bookkeeping of Jaarrekening.io.

Frequently asked questions

What happened to the Visma eAccounting website?

On 6 October 2026 the address visma.nl/eaccounting redirected to Visma's general site. The Dutch-language online help of Visma eAccounting Standaard was still reachable. Ask Visma about the status of the product if you depend on it.

What does ‘Concept-balans’ (draft balance sheet) mean in Visma eAccounting?

That the bookkeeping for the chosen financial year or period has not been locked yet. After locking, the word draft disappears from the heading of the balance sheet and the results report.

Can AccountView send an audit file by e-mail?

Yes. In the export wizard you choose whether to save the file or send it by e-mail, and you enter your accountant's e-mail address. Also save a copy for your own archive.

Are there RGS codes in the Visma export?

We could not establish that from the help pages. Open the XAF file and look at a ledger account for a code starting with B or W. The csv trial balance of eAccounting contains only the columns that the report shows.
