Switching to other annual accounts software
You can switch at the start of any new annual accounts job. What counts: the previous annual accounts for the comparative figures, your accounting policies and your own archive of what you leave behind.
How do you switch to other annual accounts software?
The easiest time to switch to other annual accounts software is at the start of a new annual accounts job. Take along the last adopted annual accounts for the comparative figures, the trial balance of that year and your accounting policies. If you change a policy when switching, that is a change in accounting policies that you account for in the notes.
That also applies if you switch from an accountant to doing it yourself. The firm keeps its own file; you need the adopted annual accounts and the trial balance to continue.
When switching makes sense
- Your accountant stops compiling, or you want to do the work yourself now that there is no audit requirement.
- Your size class changes and the current program does not support the new class.
- You need an XBRL file or another route to the KVK.
- The pricing model no longer fits, for example because a holding company is added.
What you take to the new software
| Document | Purpose | Basis |
|---|---|---|
| Last adopted annual accounts | Comparative figures and the texts of the notes | art. 2:363(5) DCC |
| Trial balance of that financial year | Reconciling the opening balance sheet and the comparative figures | Your administration |
| Accounting policies (valuation and determination of result) | Keep applying the same policies; a change must be explained | art. 2:384(6) DCC |
| Movement schedules of fixed assets and equity | Opening balances of the new year | art. 2:368 DCC art. 2:378 DCC |
| Depreciation schedule | Acquisition cost, depreciation and residual values per asset | Your administration |
| Adoption resolution and proof of filing | Proof of adoption and publication | art. 2:394 DCC |
Step-by-step plan for switching
- Choose the moment: after the last annual accounts have been adopted and before the new annual accounts job.
- Export from the old program everything you want to keep: the annual accounts as a PDF, the trial balance, movement schedules and note texts.
- In the new program, import the trial balance of the new year, and the previous annual accounts for the comparative figures.
- Check the mapping: every account should end up on the same line item as last year, unless you deliberately classify differently.
- If you classify differently, adjust the comparative figures and explain the adjustment art. 2:363(5) DCC.
- Take over the note texts and update them for the new year.
What you keep when you leave
The law requires you to keep books and records for seven years art. 2:10(3) DCC. That also applies to what is in your old annual accounts software. Before cancelling, ask how long you still have access and in which formats you can export. Keep at least the adopted annual accounts, the trial balances and the support for estimates, such as provisions.
Switching to Jaarrekening.io
In Jaarrekening.io you choose how the comparative figures come in: you retrieve last year's filed annual accounts from the KVK, you upload the previous annual accounts as a PDF, after which the AI reads the balance sheet, profit and loss account and notes, or you import only last year's trial balance as Excel or CSV. Always check the figures taken over.
You import the new trial balance as Excel, CSV or XAF audit file. If you later want to leave yourself, you export the annual accounts as PDF, Word or Excel. You create an account yourself.

Frequently asked questions
Can I switch to other annual accounts software in the middle of the year?
You can, but it is easiest after the previous annual accounts have been adopted. You then take a completed year along and start the new annual accounts job with a clean slate.
Do I take my comparative figures along?
Yes. You take them over from the last adopted annual accounts. If the new software classifies differently, you adjust the comparative figures and explain this (art. 2:363(5) DCC).
Is a different classification when switching a change in accounting policies?
Yes. A different classification or presentation is also a change in accounting policies, just like a different valuation basis (RJk A3.101 under c). A different classification is allowed only for well-founded reasons; you indicate the differences and explain the reason (art. 2:363(4) DCC). The same applies to a different valuation basis (art. 2:384(6) DCC).
What happens to my data with the old supplier?
That is set out in the data processing agreement and the terms. Export everything you must keep for seven years yourself before you cancel.
