Caseware alternative: when does Jaarrekening.io fit, and when not?

Jaarrekening.io focuses on directors and controllers who prepare the annual accounts themselves, with AI drafts for the texts. For a firm with many files, Caseware usually remains the more logical choice.

What is Caseware?

Caseware International makes software for accountants. The Dutch compilation product is called SAMENSTEL+ and runs in Caseware Cloud. According to the product page you use it to compile annual accounts ‘that are exactly as extensive or concise as needed’ (source: caseware.com, SAMENSTEL+).

The product page names four key points: risk-based compilation, generating SBR annual accounts ‘ready for filing with requesting parties such as the Chamber of Commerce’, quality control with reviewers and complete annual accounts ‘for all legal forms and sizes’ (source: caseware.com, SAMENSTEL+). The same page states that SAMENSTEL+ is meant for ‘micro to medium-sized clients’ (source: caseware.com, SAMENSTEL+).

Caseware is on the ‘Aanbieders KVK Groot’ (providers KVK Large) list of XBRL Nederland; that list contains information supplied by the vendors themselves (source: XBRL Nederland). A price is not on the product page: you make an appointment (source: caseware.com, SAMENSTEL+).

Who Caseware is meant for

SAMENSTEL+ is set up for firm work. The product page describes working with colleagues and clients in one file, adding reviewers, assessing deviations and completing the process ‘fully digitally’ with signing and audit trail (source: caseware.com, SAMENSTEL+).

For an entrepreneur with one BV, such a firm package is less obvious. You do often come into contact with it if your accountant works with it: you then receive the annual accounts from the firm's file for signing.

How Jaarrekening.io works differently from Caseware

Jaarrekening.io starts with the entity, not with the firm. You import a trial balance in Excel or CSV or an XAF audit file. Where RGS codes come with it, the mapping to the annual accounts line items follows from them; otherwise the AI makes a proposal that you check. The software derives the size class from your figures.

Notes and, where required, the management report appear as an editable draft; the amounts come from fixed calculation rules. Board, controller and accountant work in one workspace with roles, approval per section and an audit trail.

The biggest difference is in the filing. According to its own website, Caseware generates SBR annual accounts and files them ‘directly’ (source: caseware.com, SAMENSTEL+). Jaarrekening.io makes a publication version, but that is not a filing message. Jaarrekening.io sends nothing to the KVK. For micro and small you can enter the data yourself in the KVK portal Zelf Deponeren. The XBRL file of a large entity cannot go through that portal: an intermediary, usually the accountant, submits it with SBR software. Jaarrekening.io produces an XBRL validation candidate for every size class, for financial years starting in 2023 through 2026. Have it validated externally before filing.

• You are a director or controller of a BV, NV or cooperative and want to prepare the annual accounts yourself, without a firm package.
• You want the notes and management report prepared as a draft from your own figures.
• You want to pay per financial year instead of taking a licence.
• You want your accountant to look along in the same workspace, while you do the preparation yourself.

Combine instead of choose

Choosing is not always either-or. A director can prepare the annual accounts in Jaarrekening.io and invite the accountant to look along.
